Fixed Asset Tracking Software with Barcoding
Track4000 is a state-of-the-art asset tracking solution, which assists the auditing process by using barcodes and the latest in portable scanning technology to carry out fast and accurate physical audits at minimal cost.
Central to the system lies a powerful, centralised database which provides controlled access for all parties that require it, thus preventing discrepancies that may otherwise arise between departments. A single audit has the capacity to cover multiple locations and thousands of assets.
Fully compatible with RAM's Asset4000 and Inventory4000 modules and also with a number of hand-held scanning devices, the centralised asset register ensures that both the accounting and tracking modules work in unison so as to provide an accurate, validated, and consistently current database, enabling users to comply fully and confidently with auditor requirements relating to accurately accounting for and tracking their asset base.
Item details are loaded onto a hand-held data capture device which is used to scan location and unit bar-codes. The hand-held uses an interactive display for the audit process, providing the user with the latest technology for asset tracking.
Features & Benefits of Fixed Asset Tracking Software
- Portable scanners update the status of items on site and in real time.
- Upload as many data fields as required from the Asset4000 module to the hand-held unit.
- Details such as make, model or serial number are displayed in a scrollable format on the hand-held unit.
- Assets and inventory items can be flagged as transferred, disposed of or missing.
- Advanced search facility allows ‘rogue’ items to be quickly identified by a variety of criteria (e.g. serial number).
- Verify and check actions arising as a result of the audit prior to updating the register.
- Creates transaction records for verified transfers and disposals automatically, with all updates and transactions recorded in a log for reporting purposes.
Comprehensive Reporting and Analysis
At the heart of any physical audit is the production of the report itself.
Once the audit data has been uploaded into either the asset or inventory register, users are able to run a report displaying not only the details of, but also the suggested actions for each of the assets located in the audit. In doing so, users are alerted to any discrepancies in location or status of the asset prior to updating them on the fixed asset/inventory register.
If any further analysis is required, Track4000 can be used to produce a range of additional reports to provide a comprehensive account of all the changes that have been made to the registers. Reports can be sorted and sequenced as is appropriate to the individual organisation and can be viewed in a range of different mediums, including spreadsheets and MS Word™ documents.
Remote Accessibility
With its advanced security features, Track4000 enables users to email an appropriately formatted copy of the fixed asset or inventory register to any remote PC with both ease and confidence. Each transaction is automatically associated with the user performing it for added security and to enhance the verification process. The register can subsequently be downloaded to the scanner, providing a real-time copy of information for immediate physical audit.
Automatic Event Generation
Track4000's fully interactive scanning device alerts auditors to any missing, relocated or disposed items, as well as items that do not yet exist in the asset register.
Users are able to enter details of any newly barcoded items on the handheld during the auditing process, with the scanner effectively becoming a data capture tool for new assets. Equally, the new item’s barcode can be scanned and the details entered for later addition to the asset/inventory register.
Leading Edge Tracking Technology
Track4000 assigns a unique digital identifier to each barcoded asset, enabling even identical units to be catalogued individually.
RAM is able to supply a range of handheld scanning devices for use with the Track4000 software. Choose from small, smart devices at the edge of technological innovation and larger, more durable PDAs for use outdoors and in more volatile environments. A number of hardware options are conveniently bundled together to simplify the selection process.
Similarly, RAM can provide a comprehensive selection of barcode labels, in a range of materials to suit their usage, including vinyl, polyester and aluminium. Labels can display extensive information including asset number, organisation name and asset type.
